Sorted By AI is a trading name of Retail Spark Connect Ltd, registered in Scotland (company number SC403846). We are the "data controller" for the information described on this page — which is the legal way of saying: it's our job to look after it. The free audit and contact forms. When you request a free audit we ask for your business name, website, postcode, email and (optionally) phone number. We use these to run the audit, send you the results, and follow up about our service. The lawful basis is "legitimate interests" — you asked us to look at your business, so we do, and we tell you what we found.
If you become a client. We collect what we need to run the services you've chosen — contact details, business information, and access to the accounts you ask us to manage. The lawful basis is the contract between us.
Website visits. Our website sets no cookies and runs no advertising or analytics trackers — none. Our hosting provider (Netlify) keeps standard server logs, including IP addresses, for security and reliability. Fonts load from Google Fonts and one scrolling library loads from a public CDN, which means those providers see a standard web request when the page loads; they set no cookies and we send them nothing about you.
Only the suppliers we need to run the service, acting on our instructions: Netlify (website hosting and form handling, so your audit request reaches us) and our email provider. If you become a client we may use further processors (for example scheduling or accounting tools) and will tell you about them in your agreement. We never sell your information, and we don't share it with anyone for their own marketing.
Audit and enquiry details: up to 12 months from our last contact, then deleted. Client records: for the length of our engagement plus the period UK law requires us to keep business records (typically six years for anything touching invoices and accounts).
UK GDPR gives you the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, and to take your data elsewhere. Email hello@sortedbyai.co.uk and we'll sort it — usually well inside the one-month legal deadline. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113, though we'd appreciate the chance to fix things first.
If you've asked for an audit or been a customer, we may email you about our own similar services. Every email has an unsubscribe link, and one click means we stop. We don't do cold email lists, and we don't pass your details to anyone else to market to you.
If we ever add analytics, cookies or new tools that touch your data, we'll update this page (and add a proper cookie banner if the law requires one) before we do it.
